Web Services can assign college- or unit-level administrator access to IT departments to help them manage Webtools privileges. These unit admins have access to a System tab that allows them to quickly find, edit, and transfer any assets created within their unit. To request unit admin access, complete a Unit Admin Access Request form.
Scope
Unit admins have full access to edit anything associated with their units. Any action taken by a unit admin will be tracked in the Activity Log on the Privileges tab.
The System Tab
Unit admins have access to a System tab at the main level of each Webtool. Here, unit admins can search by name or ID number for content created within their units. Unit admins may also "become" another user in order to see what that user has access to.
Transfer Webtool Access
When users leave their positions they often neglect to transfer their Webtools assets. Unit admins may transfer others' privileges using the System tab in the Transfer tool. To transfer access from one user to another, or from one user to a group:
- Navigate to the System tab in the Transfer tool.
- Become the user who currently has access.
- On the My Webtools tab, select the user (or group) to receive access.
- Select which items to transfer.
- Click Transfer to user (or Transfer to group, as appropriate).
We strongly recommend transferring Webtools assets to a Security and Privileges group instead of an individual. You can easily add or remove people from the group, and it's a simple way to control access to many Webtools projects. To transfer to a group, create a new Security and Privileges group (if you don't have one set up already); add the user(s) receiving access to the group; add those same users as group admins; and transfer assets to the group.
When transferring content, pay careful attention to which unit "owns" an asset. Some staff move around within the University and may have access to content created by several units. If there is content that is not in your unit, please contact the other unit to find out who should have access.
