The Targeted Email system provides timely electronic distribution of official information through administrative channels on campus. Dissemination of information via this service is limited to messages for "official University business." Official information that is appropriate for a targeted mailing is relevant to a targeted segment of the campus population and is time-sensitive and so must be disseminated quickly. If a broader segment of the campus population (e.g., all faculty, all staff, all students) is needed, then the Massmail service should be used.
Targeted Email is primarily self-serve:
- Log in to Webtools.
- Create your email in Email+.
- Create a list of email recipients in Group Manager.
If you do not have the email addresses you require, you may request the creation of a group. If your mailing is survey related, please contact the Division of Management Information (DMI) for group creation. Otherwise, you may contact the Office of the Registrar. Please note that there may be a fee for group creation.
Administrative approval
Administrative approval is required for any email list provided by the DMI or the Registrar's office before a Targeted Email can be sent. Only an office that has jurisdiction over the targeted audience can approve a Targeted mailing. Examples include the Office of the Dean of Students, Academic Human Resources, Staff Human Resources, the Office of the President, the Chancellor, one of the Vice Chancellors, the Provost, Deans or Department Heads. The named office reviews the content of the Targeted mailing request. If deemed appropriate, approval for that mailing is granted.
Approval can be in the form of an email from a representative of the administrative office.
Audiences
Unsubscribing from Targeted Emails is not allowed. While it is true that unsolicited email is against Urbana campus network policy, a Targeted mailing is not considered unsolicited email. This is because by enrolling as a student and/or taking a job with the University, you inherently agree to accept unsolicited communications from your academic and/or professional supervisors. This includes a Targeted mailing.
