Staff and Faculty can access every service in Webtools. Sometimes your department might need to give staff access to a student or outside group. Below we explain how to do this. It is important to note a couple of key points.
1) You are responsible for removing the person's access when they no longer need it. We have no way to know they should no longer have access.
2) You are responsible for how they use Webtools. You are giving them access to every service when you sponsor them.
3) One year after a net ID is sponsored the permissions are revoked. This is done in case the person sponsoring someone forgot to remove the person's access.
To Sponsor someone
Go to "Menu" in the top right navigation of Webtools. Select the service called "SPONSORED". Add the user's Net ID and name. The user will be added with the same unit and department as the person adding them. To add them to a different unit please have a staff member from that unit add them.
Undergraduate student access in Webtools
Undergraduate students by default have access to anything that has been assigned to them, however they cannot create new Webtools. For a student worker to see the 'create' button they must be added with staff access. The person adding them takes full responsibility for all content created by this account.
External access
To give access to someone outside the University system, first ask your local IT department to set up a Net ID for the individual. Once that is complete then follow the above sponsoring instructions.
