Staff and faculty can access every service in Webtools. Sometimes your department might need to give staff access to a student, an Extra Help employee, or an outside group. Below, we explain how to do this. It is important to note a couple of key points.
Important Responsibilities
Remove access when it is no longer needed. We cannot track when access should end, so the responsibility falls to the sponsor.
You are responsible for how the individual uses Webtools. Sponsoring someone gives them full access to all services.
Access automatically expires after one year. This safeguard ensures access is removed if a sponsor forgets to revoke it.
How to Sponsor Someone
In Webtools, select MORE from the top-right navigation.
Choose SPONSORED.
Enter the individual’s NetID and name.
The person will be added to your unit and department by default.
To assign them to a different unit, a staff member from that unit must complete the process.
Undergraduate Student Access
By default, undergraduate students only see the tools assigned to them.
They cannot create new Webtools unless sponsored with staff access.
The sponsor is fully responsible for all content created under that account.
External Access
To grant access to someone outside the university, your local IT department must first set up a NetID.
Once created, follow the sponsoring steps above.
