Web Services will be adding multiple enhancements to Forms and Surveys in the coming months. We are providing the list in the hopes that users send us additional enhancements to add to the tools.
Saving
If a form or survey is set up to allow users to delete and/or save submissions, we will require users to authenticate. That way, when users move between pages in a form or survey, their changes will save automatically. NOTE: Users must still click “Save and Finish Later” to save changes on a partially completed page.
Form/Survey URLs
To complete a saved form or survey, or to delete one that’s been submitted, a user can simply return to the original URL. Special URLs are no longer required.
Editing Submissions/Work Flow
We are adding an option to allow users to edit submitted forms. This feature must be enabled by a form administrator. The workflow process is as follows:
- A user submits a form.
- A form manager can edit the submission submitted by the user.
- A form manager can send the submitted form back to the submitter with an email message asking the user to edit the form.
- Once a user has fully completed a form, a form manager can finalize the submission.
- We will be adding an “Office Use Only” option to all question types. Questions that have this option enabled can only be edited by a form manager.
Edit Questions While Live
Allow users to be able to edit questions while the form is still running. This would only allow for minor editing. A user might change the wording of a question or fix question typos. This will be done from a full form view. You will not have to go into each question directly to change the text.
Stopping a Form
When a form admin is about to stop a form, warn them if users are actively filling out forms or if they have saved forms to finish later.
Hidden Fields
We are including a “hidden question” field that can be enabled on any question type. Hidden questions are not seen by users. These fields are populated by passing URL parameters to the form when a user initially clicks on the form URL.
Registration Type
We are adding a new "Registration" question type. With this question type, you can set a maximum number of submissions for each answer option. Once the maximum is reached for any particular option, that option will be closed. Example: Conference attendees must choose a presentation to attend at 10:00 am. On the form, there are four presentation options, and each option has a maximum number of attendees who can participate. Once the maximum is reached for a particular option, no other users can select it. If a user edits or deletes their form, the option will become available again.
Advanced Business Logic
We will still have the “Jump To” option, but some users require more robust form logic. With advanced business logic, users can set up complex rules for moving around a form. However, this will require one question per page only.
Minimum Word Count
Add a new validation rule that can be used to enforce a minimum word count on long answer options.
Add, Delete or Reorder Questions in a Live Forms
For forms and surveys that do not use Jump To or advanced business logic we will have an option to add or remove questions from a live form. This will be done by enabling or disabling a question.
Purchasing
Integrate forms with the University Merchant Card Services to allow for purchasing. When creating a form up front a user will choose a traditional form or one for purchasing. Purchasing forms will have a new tab that will allow the user to enter in FOPAL information that will get sent directly to Merchant Card Services for processing. Once the processing is complete Merchant Card Services will authorize your form for use. At this point you will be able to activate your form when ready. Almost every step of the process will be done by pressing a button. Almost no direct communications will be necessary.
Digital Signatures
Request for digital signatures in forms that have a "workflow" option. A digital signature is a type of electronic signature that is essentially a security procedure. A digital signature involves use of an encryption system in which one key (the private key) creates the signature and another key (the public key) verifies the signature.
